The employee waiver program supports benefitted UVA employees who are part-time UVA students. Eligible fees waived under the program include the Comprehensive fee, school fee, and University fee.
Eligibility is determined on a term by term basis defined by your employment level (please note, wage employees are not included in the employee waiver program). There is no minimum enrolled credits nor is there a minimum time period of employment required for eligibility. Please visit UVA’s Human Resources website for a comprehensive review of employee education benefits.
Eligible UVA employees include UVA Medical Center and Academic benefitted employees (UPG employees are not included*). Benefitted full-time salaried faculty (9- or 12-month), ROTC faculty, full-time staff, and health care professionals (including health care employees working 20 hours or 50%) will qualify to have their comprehensive fee waived. Effective Spring 2022, off-Grounds fees are included in the waiver program (the waiver will not apply retroactively to off-Grounds fees).
Comprehensive fees are waived under the employee waiver program for benefited employees because access to covered services is available through employee benefits. Benefitted employees choose and pay for their coverage and services separately through payroll. Please note, the waiver of the Comprehensive fee means employee students choose and pay for student facilities and services as needed (e.g., gym membership, athletic events, Student Health). See here for more information about Comprehensive Fees. The Comprehensive fee is not separated by service.
*Note: the employee fee waiver program does not apply to University Physician Group (UPG) employees. UPG is an independent 501(c)3 University Associated Organization (UAO) governed by its own Board of Directors with a public majority. As a separate employer, UPG offers a separate benefits package from UVA's Academic and Medical Center employees, and maintains separate benefit and leave policies.
How is the waiver applied?
The automated process for eligible students ends the 1st day of the standard academic term. For example, if in a given term your classes start on 8/22, you would need to be eligible from an HR perspective and enrolled in classes by 8/21.
For eligible academic employees, the comprehensive fee waiver will automatically apply to your UVA student account within one business week following your course enrollment and tuition calculation. The waiver applies only to terms of enrollment that begin after the employee’s eligibility begins. For example, if a student becomes a full time university staff employee in October, and they are taking classes in the fall term, the employee waiver will only apply in the following Spring term and beyond, as long as the person remains a benefits-eligible employee.
Medical Center Employees
For eligible Medical Center employees, effective January 3rd, 2019, the comprehensive fee waiver will automatically apply to your UVA student account within one business week following your course enrollment and tuition calculation. The waiver applies only to terms of enrollment that begin after the employee's benefits eligibility begins. For additional information, please refer to the Medical Center Educational Assistance program website to review eligibility details.
